How student information is handled

This page explains how BARISTA TRAINING ACADEMY collects, uses, stores, and protects information for bookings, student records, and nationally recognised training.

Information we collect

We collect information needed to manage course enquiries, bookings, payments, student accounts, enrolment, training delivery, student support, attendance, assessment, certification, and compliance.

This may include name, date of birth, email, phone, address, emergency contact, USI, citizenship or residency information, language/literacy/numeracy information, support needs, ID evidence, booking records, attendance, assessment outcomes, certificates, and payment references.

Why we collect it

We use student information to provide training services, confirm bookings, support students, maintain accurate records, issue eligible certificates, manage complaints or appeals, and meet RTO reporting and audit obligations.

For nationally recognised training, some information is required for USI verification, AVETMISS/NAT reporting, and regulatory compliance.

Who information may be shared with

Where required, information may be shared with authorised government bodies and agencies involved in vocational education and training reporting, regulation, USI verification, audit, or compliance.

We may also use trusted service providers for hosting, email, payments, secure file storage, and administration. These providers only receive information needed to perform their service.

Card payments are processed by a payment provider. BARISTA TRAINING ACADEMY does not store full card numbers through this website.

We do not sell student personal information.

Identity documents and USI information

Identity documents uploaded through the student portal are used to check student details before certification and reporting are finalised.

USI information is handled securely and is used for verification and reporting where required. USIs are not printed on statements of attainment or other certificate documents.

Identity documents and certificate files are intended to be stored privately and accessed only by authorised users for student administration, compliance, or student download purposes.

Emails and student communications

We use email to send booking confirmations, payment receipts, student portal instructions, class reminders, certificate notifications, support responses, and important administrative updates.

Students should keep their booking email current and contact us if they believe an email address is incorrect.

Access, correction and deletion

Students can request access to personal information held about them and can ask for inaccurate information to be corrected.

Some records must be retained for training, certification, audit, legal, or regulatory reasons and may not be deleted immediately on request.

To make a privacy request, contact us with your full legal name, booking email, and details of the request.

If a record cannot be deleted because it must be retained, we will explain the reason and update or restrict the information where appropriate.
