Student Support
Policies and student information
Key information for students booking or completing training with BARISTA TRAINING ACADEMY.
Student information before booking
Students should review course details, dates, price, duration, class size, location information, and whether the course is accredited or non-accredited before booking.
Nationally recognised training applies only to courses clearly identified as accredited and within RTO scope. Practical skills courses are separate from nationally recognised training.
Students should contact BARISTA TRAINING ACADEMY before booking if they need learning support, accessibility assistance, reasonable adjustment, or help deciding whether the course is suitable.
Fees, refunds and payment processing
Course prices shown on this website are intended to be the student-facing price for online checkout. We do not add a separate card surcharge at checkout.
All prices are shown in Australian dollars and all online payments are processed in AUD unless clearly stated otherwise before checkout.
Payment receipts are sent by email after a successful checkout. Card details are handled by the payment provider and are not stored by BARISTA TRAINING ACADEMY on this website.
If BARISTA TRAINING ACADEMY cancels a class, students will be offered a transfer to a future class or a refund of the course fee paid.
Student-requested refunds are assessed against the timing of the request, whether a seat has been reserved, whether training has commenced, and any rights that apply under Australian Consumer Law.
Refund and transfer outcomes will be confirmed in writing. Approved refunds are normally returned to the original payment method.
If a third-party payment fee is not returned to BARISTA TRAINING ACADEMY, any deduction will only be applied where it is lawful and disclosed before processing.
Nothing in this policy limits any consumer guarantee, refund right, or remedy that cannot be excluded under Australian Consumer Law.
Cancellations and transfers
Students who need to change a class date should contact us as early as possible and before the booked class starts.
Requests made 7 or more calendar days before class will usually be eligible for one transfer to an available future date, or a refund review.
Requests made less than 7 calendar days before class may be limited to a transfer if a seat can be filled or another class is available. Requests made less than 48 hours before class are handled case by case.
Non-attendance without notice may be recorded as a no-show and may mean the booking is forfeited unless exceptional circumstances apply.
Classes are planned for a maximum of 10 students and may require a minimum of 5 students to proceed. If minimum numbers are not reached, BARISTA TRAINING ACADEMY may transfer students to a future date or offer another suitable option.
If a class date changes, we will contact students using the email address attached to the booking or student account.
Attendance and punctuality
Students should attend the full scheduled class and arrive ready to begin before the advertised start time.
Late arrival may affect participation, assessment opportunities, or completion of the course.
For accredited training, attendance and assessment evidence may be required before competency can be recorded.
Access and equity
Students are treated fairly and respectfully.
If you need learning support, accessibility assistance, or reasonable adjustment, contact us before your class so we can review what support may be appropriate for the training and assessment requirements.
Reasonable adjustment must still allow the required skills and knowledge to be demonstrated where assessment applies.
USI, identity and student collection notice
Students completing nationally recognised training must provide accurate enrolment details, including their Unique Student Identifier (USI), unless a lawful exemption applies.
The USI may be verified through the USI Registry System for reporting and award-conferral purposes. A statement of attainment cannot be issued for nationally recognised training until USI requirements are met.
Student information is collected for enrolment, training delivery, support, attendance, assessment, certification, AVETMISS/NAT reporting, compliance, audit, and communication.
Where required, student information may be disclosed to government bodies and authorised agencies involved in vocational education and training reporting, regulation, USI verification, or audit.
ID verification may be requested through the student portal before certification and reporting are finalised.
The name and date of birth supplied in the student profile should match the student identity evidence provided.
If a student has a lawful USI exemption or is unable to provide a USI before arrival in Australia, they should contact us before class so the record can be reviewed correctly.
RTO wording, certificates and outcomes
BARISTA TRAINING ACADEMY delivers nationally recognised training only where a course is clearly identified as accredited and within the RTO scope. Non-accredited practical skills courses are clearly separate from nationally recognised training.
Students who complete the required training and assessment and are deemed competent can access eligible certificate records through the student dashboard.
Certificate release may depend on complete enrolment information, USI validation, attendance, identity verification, and assessment outcome.
Statements of attainment and other AQF certification documents must match the verified student record and must not include the student USI on the document.
Non-accredited skills courses may have a different completion record or participation outcome and are not the same as nationally recognised training.
Nationally Recognised Training logo and RTO references must only be used where appropriate for accredited training and must not suggest a non-accredited course is nationally recognised.
Lost or missing certificates
If a certificate is missing, incorrect, or needs to be reissued, students should contact BARISTA TRAINING ACADEMY with their full legal name, course date, email used for booking, and any certificate number if known.
Before reissuing a certificate, admin may need to confirm identity, enrolment records, attendance, assessment outcome, and USI details.
Replacement processing time depends on record checks and whether the original enrolment information is complete.
A replacement or administration fee may apply where permitted and disclosed before processing.
Complaints and appeals
Students can raise a concern about training, assessment, service, support, or an administrative decision.
Complaints and appeals should be submitted in writing so they can be reviewed and responded to fairly.
Assessment appeals should explain the decision being appealed and include any supporting information the student wants considered.
BARISTA TRAINING ACADEMY will aim to handle concerns respectfully, confidentially, and without disadvantage to the student.
Privacy and student records
Student information is collected to manage bookings, enrolment, attendance, certification, reporting, support, and communication.
Records may include contact details, USI information, identity evidence, attendance, assessment outcomes, payment references, certificates, and student support notes.
Student records are handled through secure systems and should only be accessed by authorised users who need the information for training, administration, compliance, or support.
Students can request access to, or correction of, inaccurate personal information by contacting BARISTA TRAINING ACADEMY.
More detailed privacy information is available on the Privacy Policy page.
Academic integrity
Students must complete assessment tasks honestly and provide their own evidence of competency.
Misleading, copied, or false information may delay or prevent completion.
Students must not submit another person's work, identity evidence, or USI information as their own.
